Importing Personnel (TXT)

If you have an existing Personnel database in another program or format, you may be able to import those records into Sitemaster 200®. What's important is that you have, or that you can convert, your personnel data file into a comma-separated text file (e.g., TXT or CSV).

 

Important: Before you import any file into SITEMASTER 200®, do the following: Make a backup of your working dataset for safety purposes.

 

Note: This feature can also be used later to import an updated Personnel file. When updating, new personnel are added and existing personnel are updated. The Primary Key for Personnel is ID Number. During an import, personnel missing in the import file will not purge those in the program's dataset. This is done for two reasons. The first, is that those personnel may be issued keys. The second, is that the user may have entered personnel not included in the import file such as Contractors or temporary personnel.

 

Get a Sample Personnel Import File - This file can be used for importing your Personnel and it is in the same field order as the fields in the Import Personnel screen.

 

To Import Your Personnel:

 

Your Personnel import file must be a comma-separated text file. An example of this is an Excel file saved as a ".csv" file.

 

Note: If you're importing telephone numbers the format is XXX-XXX-XXXX.

 

1. From the pull-down Utilities Menu, select Import Personnel from Text File. This displays the Import Personnel Screen.

 

2. Click on the Browse button to the right of the File to Import field.

 

3. Use the Open window to locate and select the Personnel file that you want to import.

 

Important: The required file type for your Personnel file is a comma-separated Text file. Contact your IT Group to find out if this can be provided.

 

4. The File to Import field now displays the file path.

 

The Personnel Field List displays the data fields that are used in SITEMASTER 200® for personnel information. The Import Data Elements list now displays the field names that are used in the personnel file that you are importing.

 

5. Use the Move Data Up and Move Data Down buttons to align the data elements in the import file with the data fields in SITEMASTER 200®.

 

6. If you want to omit data or if there is field information that is not available in either SiteMaster or your import file, use the Skip Field and/or Skip Data buttons to exclude information.

 

7. After you have set up the data lists, use the Right and Left Arrow buttons to step through the actual personnel records of the import file. This allows you to see how the data records will look in SiteMaster.

 

8. When you're done, click on the Finish button to start the import.
