Data Entry Walk-Through

The following recommended sequence is not the only way to get your records loaded, but it is an efficient method that will also teach you how the program works.

 

Recommended sequence and walk-through procedures:

 

The following procedures cover the main data types in the program.

 

Take these Steps:

 

1. System Setup (User Program) -Assign program settings before you begin to add data.

· Control how keys are created and displayed throughout program.

· If deposits and/or charges are collected on keys.

· Enter text that appears on your Key Issuance Receipts.

Receipt Text - Type in the text for your Key Issuance Receipts.

System Setup - Add site info for key receipts and costs for key deposits and charges.

 

 

 

2. Administration Program - System security settings for controlling Users and Data.

· Set up your requirements for passwords.

· Learn how to perform data backups and restores.

· Access security logs for users.

· Add program users and control access to data.

· Notify, log out, and lock out users when necessary.

3. Manufacturers - Pertains to Key Systems and/or Hardware Products.

· Some of Schlage's manufacturers such as Schlage and LCN are already preloaded.

· Add any others that are necessary.

4a. Manufacturer's Systems - For SiteMaster 200 v4 Full Version Users > Even though, there is no Manufacturer's System Screen, you will only need to assign this information when you import your Allegion Registered Key System.

· All of Schlage's and Falcon's systems are already preloaded for you to select.

· For the Schlage/Falcon restricted systems you may need to set up certain Keyway relationships if downward compatible.

· There are Generic 5, 6, and 7 Pin preloaded systems that you can use for miscellaneous keys, if necessary.

4b. Manufacturer's Systems - For SiteMaster 200 v4 Full Version with Lockshop Enhancement UsersiStock_000015183192Large> The mathematical and physical specifications that Key Systems are based upon.

· All of Schlage's and Falcon's systems are already preloaded.

· For the Schlage/Falcon restricted systems you must add your Keyway(s), but only true if you do not import systems.

· For other brands, you can add most standard one and two step systems.

· Control keys are only combinated for SFIC type cylinders.

· Large Format control keys are not used/entered in Manufacturer's Systems.

5a. Key Systems - For SiteMaster 200 v4 Full Version Users - You import your Key Systems from Allegion Key Records department.

· You use the Load Allegion Registered Key System feature that imports your Key Number and cylinder/Core records for you.

· You may also use the Key/Core Loader File to import existing Schalge or Falcon systems.

· You can manually add Key Number and Cylinder/Core records.

· For miscellaneous Key Number and Cylinder/Cores, you can use the preloaded Generic Systems.

5b. Key Systems -For SiteMaster 200 v4 Full Version with Lockshop Enhancement Users - iStock_000015183192Large Key Systems are based on the Manufacturer's Systems that are assigned to them.

· You should add your Key Numbers and Cylinder/Cores to the Key Systems screen for all keys/cylinders belonging to a master keyed        system.

· The records added to Key Systems, are automatically added to the Key Numbers and Cylinders screens in the program.

· All of Schlage and Falcon's Manufacturer Systems are already preloaded.

· You add your Key System and first assign the Manufacturer's System that it's based upon.

· There are three different wizards to load up a key system with key numbers and cylinder/cores.

Add Key Numbers & Cylinders Wizard - Add multiple records to create both Key Number and Cylinder/Core records.


 

 

6. Product Types, Products, and Hardware Groups - The program can track detailed information about products.

· In order to key and re-key doors, you must assign cylinder products to those doors.

· There is a preloaded Product Type, Product, and Hardware Group called Generic Cylinder that you can use for convenience.

· You can also add your actual cylinder products and other door hardware at any time.

· Products can be mass-assigned to doors.

7. Buildings, Rooms, and Doors - Parent child relationships. Buildings have rooms and rooms have doors.

· There is a wizard to mass create rooms and doors with options to assign keys, hardware, departments, and other information.

· Rooms and doors can also be added manually.

· Optional room and door information can be mass-assigned at any time.

· There are wizards for adding additional doors, and keying and re-keying doors.

· There is also a way to import room and door information.

· You can add your valuable Assets to your Rooms, and track who has access with their keys.

8. Personnel and Issuing Keys - You can assign contact information, keys and key rings, Photo ID and Electronic Signatures.

· Personnel can be added at any time.

· There is a wizard for importing personnel and may include departments and positions.

· Departments can be mass-assigned to rooms.

· Authorized Signers with signature authority for keys are assigned to departments.

· There are wizards for creating key rings, and for issuing keys and rings.
