The Manufacturers Screen is where you create and maintain the different names of Manufacturers that you use for hardware products and Master Key Systems.

 

For example, Schlage Lock Company is a manufacturer of door hardware, cylinders, and key systems. Your site may use other manufacturers of hardware such as LCN for door closers and Von Duprin for exit devices. You may maintain as many Manufacturers as you wish in order to handle any type of hardware product or key system.

Working with Manufacturers

 

In this program, Manufacturers belong to the hardware products that are assigned to your doors and are also used to identify the names of any key systems that you create. The Manufacturers Screen also displays Contact information for any manufacturer. A manufacturer's contacts, for example, may be the sales representatives.

 

To Open the Manufacturers Screen:

 

1. Click the Manufacturers icon on the Main Button Bar.

 

2. The Manufacturers Screen opens in the expanded view, allowing you to Add or Look Up records. You may also access reports, exit from the Manufacturers Screen, or change the mode of the screen. The buttons that appear with gray text are inactive and not available in this mode.

 

3. The Name lookup field is the default, but you may click on any of the Field Column Names such as Distributor to look up records by that name.

 

4. Click on the Mode button to contract the Primary Record List to the left and display the record fields on the right.

To Add Manufacturers:

1. Click on the Add button on the Manufacturers Screen.

 

2. Type your information into the data entry fields. See field descriptions below.

 

3. For the Distributor field, click on the blue down arrow to make a selection or type in a new name to add it.

 

4. There are two ways to add the Manufacturer's contact personnel to the Contacts list. See Contacts .

 

Add Contacts by looking them up:

 

The Contacts list is a Secondary Record List that displays linked information that originates from the main Contacts Screen. If you know who your manufacturers' contacts are, then add them in advance to the Contacts Screen. This will then let you look them up, which adds them to the Contacts list. See Adding Records to a Secondary Record List.

 

Add Contacts by modifying a new or an existing Manufacturer's record:

 

Finish adding a Manufacturer without adding any Contacts and Save the record. Click on the Open Folder button on the Contacts list which takes you to the Contacts Information Screen for that Manufacturer. Click the Add button and enter the new contact's information. You finish by clicking on the Save button that adds this new contact to the Contacts list.

 

5. When you're done, click on the Save button on the Manufacturers Screen.

 

 

Fields Descriptions of the Manufacturers Screen:

 

Code: Assign a Manufacturer's Code to the record. This is an abbreviation of the Manufacturer's name. For example, a code for Schlage could be SC and for Von Duprin VD. These types of codes are used, for example, when hardware schedules are produced for construction projects. This code is displayed in the Products list on the Hardware Group Screen.

 

Name: The name of the Manufacturer.

 

Distributor: The name of the primary distributor for this manufacturer who may give you the best price. This can also be your distributor of choice for this manufacturer. The program displays this Distributor's name for all the Products of this Manufacturer. To see the Distributors information such as Contacts, click on the Open Folder button on the Distributor field. Note: This field is for assigning the current Distributor who sells you the brand. When replacing a hardware product on a door, you can assign the Distributor who sold you that specific product. See Hardware List Screen

 

Percent off Retail: This is the discount percentage that the assigned Distributor gives you for the Manufacturer's products.

 

Contacts: The Contacts list is a Secondary Record List that displays the contacts for this Manufacturer. The program has a Contacts Screen where it stores all contact information. If you add your contact names to the Contact Screen in advance, then you will only have to look them up to add them to your Manufacturers. These contact personnel are separate from the program's Personnel Screen because these contacts are people that are outside of your personnel database. The Contacts list displays the First Name, Last Name, Description, and Phone Number of each contact. See Contacts.

 

 

To Edit and Delete Records:

 

Once you have records added, you can edit or delete the records as well as the linked information associated with those records. Editing and deleting records affect any parent-child relationships of those records. To learn about editing and deleting records, see Editing Records or Deleting Records.

To Access Reports:

 

Click on the pull-down Reports Menu at the top of the Main Menu. To learn about the reports for this topic, see Reports.
